What is in the template

  • Cover: your logo, Operation and Maintenance Manual, the property, the client or main contractor, the practical completion date and your details.
  • Contents: a Word contents field. Right-click it and choose Update Field when the manual is finished and the page numbers fill themselves in.
  • 1. Scope of works: what was installed, with a worked example.
  • 2. System description: boiler, cylinder, zone valves, filling loop, programmer and thermostats, each with its location and a photo box.
  • 3. Heating and hot water controls: prompts for instructions the client can follow.
  • 4. Isolation valves and locations: stopcock, meter, gas emergency control valve, cylinder, basins, WCs and heating, location first.
  • 5. Bathroom and cloakroom: extract fans, local valves, access panels, showers.
  • 6. Maintenance: boiler and unvented cylinder service intervals and warranty conditions.
  • 7. Useful contact numbers: a table with the gas emergency and power cut numbers already in.
  • 8. Certificates and manuals: a checklist in the order to insert them: gas safety record, Benchmark, G3, building regulations compliance, warranty registration, manufacturers’ manuals.

Filling it in

  • Write it on the last day of the job, while the valve locations are in your head. Put the location first in every sentence about a valve; nobody reads the second sentence in an emergency.
  • One photo per valve, control and major component, taken square on with the surroundings visible so the client can find it.
  • Photograph paper certificates flat and in good light. Insert each one after section 8 and add it to the contents.
  • Save the finished manual as a single PDF and send it on the day of practical completion.

There is a section-by-section walk-through, with example wording for each part, in how to write an O&M manual for a heating installation.

When a template stops being enough

The template does the layout. The slow part is still yours: photos pasted into the right boxes, the contents updated each time a certificate goes in, and the PDFs merged at the end. Docutrades does that from your phone. Short notes and photos per section, certificates uploaded as PDFs or photos of paper copies, and one tap produces a branded manual with the contents page numbered and every certificate merged in. See O&M manual software. The template is free either way.
