Roof survey software for UK roofers and surveyors
Docutrades is a web app for writing roof survey reports on site. You type rough notes and take photos on the roof, and it turns them into a branded PDF report: one section per roof area, each graded Cat 1, 2 or 3 with an indicative cost, photos captioned and kept with their area, a summary with a costed works table, and an acceptance page the customer signs on their phone. What it does, in the order you use it
- Survey on your phone. Add a roof area, type or dictate what you see, take up to five photos and mark the defect on them with a circle or an arrow. Everything saves as you go; a poor signal delays a save, it never loses one.
- Tidy the wording. One tap rewrites your notes as plain professional English. It keeps your meaning and your numbers, adds nothing you did not write, and you can edit every word before it is used.
- Grade and cost each area. Cat 1, 2 or 3 with the standard UK wording, and an indicative cost range. The report totals them.
- Generate the report. A branded PDF in your layout and colours, with your logo on the cover, in about ten seconds. Every version is kept.
- Send and sign. The customer gets a private link to read, download and sign the report on their phone, or signs on yours while you are still there. The signed copy is added to the report.
What a report contains
Cover, cover letter, the three category definitions, one page per roof area with description, recommendation, category and photos, a summary with a recommended-works table and total, an acceptance and surveyor sign-off page, and a back page with your details. Every plan starts with a 14-day free trial that includes five reports. A card is needed to start and nothing is charged until the trial ends. No VAT is added. No contract; cancel any time in Settings, and billing stops at the end of the month. Larger firms with several offices can contact us for an invoiced Enterprise account.
Who it is for, and who it is not for
It is for roofing contractors who survey before they quote, roof surveyors who write condition reports for owners and block managers, and firms whose reports are currently typed up in the evening from a notebook. It is not an estimating or job-management system: it does not measure roofs from aerial imagery, schedule crews or raise invoices. If you use Jobber, Tradify or a spreadsheet for the job side, Docutrades sits beside it and does the report.
Questions roofers ask
- Does it work with no signal on the roof? Yes. Notes and photos stay on the phone and save when the signal returns.
- Is the signature any good? It records the customer’s name, drawn signature, time and IP address on the report, the same standard as most e-signature tools. Suitable for report acknowledgement and quote acceptance.
- Where is the data kept? In the EU (Ireland). Each company’s data is separate; reports are stored privately with links that expire.
- Can I use my own wording? Every sentence the tidy-up writes can be changed before it is used, and the cover letter, cover title, footer and payment instructions are yours to edit. The category definitions and disclaimer are the standard UK wording.
